Privacy Policy
Our Legitimate Business Interests
We collect and retain your personal data based on our legitimate interests, which are outlined below:
To support our Candidates in pursuing their career goals and to assist our Clients in meeting their resourcing needs, we maintain a database containing personal information about Candidates and Clients, including both historical and current data.
To support our Candidates in pursuing their career goals and to assist our Clients in meeting their resourcing needs, we maintain a database containing personal information about Candidates and Clients, including both historical and current data.
As a recruitment agency, Wolf Ellis facilitates introductions between Candidates and Clients for permanent roles, temporary assignments, and independent professional contracts. Sharing personal data of Candidates and Client contacts is essential to this process.
If you are seeking employment or have made your professional background publicly available on job boards or professional networking sites accessible to recruiters, it is reasonable to expect that we will collect and use your personal data to provide our recruitment services, evaluate your suitability for vacancies, and, with your consent, share your information with prospective employers.
Once an offer is made to a Candidate, the prospective employer may also need to verify information you have provided—such as psychometric test results, references, qualifications, or criminal record checks—where appropriate and relevant to the role.
Consent
Where we rely on your consent to process your data, we will seek it explicitly—either orally, by email, or via online forms—and record your response. You have the right to withdraw your consent for any specific processing activity at any time, as explained further below.
Establishing or Defending Legal Claims
In some cases, we may need to process personal data, including sensitive information where permitted, in connection with legal claims. This could involve seeking legal advice or complying with legal obligations, such as preserving or disclosing data as part of legal proceedings.
Equal Opportunities Monitoring
We are committed to promoting equal opportunities in recruitment. You may be asked to provide information about your ethnicity, gender, disability status, age, sexual orientation, religion, or other protected characteristics to help us monitor and improve our compliance with equal opportunity policies.
This information will be used on an anonymised basis and may be shared with Clients when contractually required or at their request to help them meet their diversity objectives. Providing this information is voluntary, and you will be asked to explicitly consent to its collection and use (i.e., opt-in).
You can withdraw your consent at any time, and we will stop processing your data for this purpose unless we have another lawful basis to continue, in which case we will inform you.
Change of Purpose
We will only use your personal data for the purposes for which it was originally collected, unless we reasonably determine that a new purpose is compatible with the original one. If we intend to use your data for an unrelated purpose, we will notify you and explain the legal basis for doing so.
Please note that, in compliance with applicable laws, we may process your personal data without your knowledge or consent where permitted.
Automated Decision Making or Profiling
Wolf Ellis does not engage in automated decision making or profiling. While our systems help identify and filter data based on parameters set by staff, all final decisions involve human judgment.
Sharing Your Personal Data
Within the Wolf Ellis Group
Your personal data may be shared with other companies within the Wolf Ellis Group. Transfers are governed by intragroup agreements and Standard Contractual Clauses to ensure an appropriate level of data protection.
We share your data internally to provide centralized services such as payroll, IT, sales support, manage global or regional roles, and facilitate remote working where applicable.
If you register as a Candidate in a country different from where you initially joined Wolf Ellis, a unique record will be created to avoid duplication and improve accuracy. Companies within the group act as independent data controllers in these cases.
Third Parties
We may disclose your personal data to third parties:
-
When required by law or regulation;
-
To law enforcement agencies or government authorities;
-
To potential buyers or their advisors in the event of a business sale, merger, or restructuring.
Data Security
While we strive to protect your personal data, please be aware that internet transmission is never completely secure. We use strict procedures and security features to safeguard your information once received. Your data is stored securely on servers located in the UK and accessed only by authorized personnel who require it for legitimate business purposes.
We have procedures to identify and respond to data breaches and will notify you and the relevant regulators if legally required.
Retention of Your Data
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, including meeting legal and regulatory obligations.
The length of time we keep data depends on factors such as its nature, sensitivity, and the potential risks associated with its retention. We may archive or pseudonymize data to ensure it is no longer identifiable while still allowing compliance with legal requirements.
You can request more information about our data retention periods by contacting us at info@wolfellis.co.uk
